Why Teams Struggle with Alignment

One of the biggest challenges organizations face today is team alignment. Team members are working in different offices, different states, different countries. There is a disconnect amongst employees and managers, and that alignment is killing productivity. Interestingly enough, this misalignment is not because teams lack talent, ideas, or even motivation. It is because of how teams are being asked to communicate and collaborate.

What Is Team Alignment?

Ultimately, team alignment means that everyone on your team is on  the same page when it comes to goals and vision. 

A well-aligned team understands the company’s goals and priorities, as well as their role in the process. When you have everyone on your team working to achieve those same goals, you are more likely to reach the same outcome. 

When alignment is strong, teams move faster, communicate clearly, and execute effectively. Yet, when alignment is missing, you may find more unproductive meetings, miscommunication across departments, lack of accountability, and deas that never turn into action.  This is where most organizations get stuck.

1. Too Much Discussion, Not Enough Decision
Many teams spend time talking, brainstorming, and sharing ideas, but when employees are left with questions and are uncertain about ownership, these ideas get left on the table with no one taking accountability.  This is one of the biggest reasons strategic planning sessions and leadership meetings fail. It's because conversations feel productive in the moment, but nothing changes afterward.

2. Communication Breakdowns
In many organizations, communication is inconsistent.  Managers assume teams are aligned on a goal because information has been shared. However,  just because an email was sent or a meeting was had, it doesn't mean that team members understand what they are responsible for and what the plan of action is.  Without intentional communication strategies, teams operate in silos, and alignment breaks down quickly.

3. The Loudest Voices Dominate
In traditional meetings, a few people tend to lead the conversation while others stay quiet. I know you can relate to this. The dominate voices speak up, leaving the rest of the group silent and therefore unsure of next steps. This creates a major gap in collaboration. Some of the best ideas never get shared because people do not feel comfortable speaking up. Over time, this leads to disengagement and missed opportunities for the organization's growth.

4. Lack of Structure
When meetings and workshops lack structure, attention drifts.  And without a clear agenda, defined outcomes, and facilitation, teams lose focus and momentum. This is especially common in leadership offsites and strategic planning sessions, where discussions can easily go in circles.

5. No Follow-Through
Even when teams have great conversations, alignment can fall apart when there is no plan of action or accountability. If there is no clear ownership of a task or a timeline to keep the project on track, ideas fade. A follow-up plan is key to success after a productive meeting or strategic planning session. Otherwise it's just another meeting with no real results.  

The good news is that alignment is not something you either have or do not have. It is something you can design with the right tools. As a Strategic Leadership and Team Facilitator, I have been hired to help teams get back on track when it comes to alignment, communication, and planning for the future. My preferred method of facilitation is the LEGO® Serious Play® method, where teams build with their hands to visually represent their ideas to others. It's through these 3D LEGO models, that vision is shared, and the results are incredible. We often see more results in one session, than can be accomplished in six months of "meetings."

Here are some key strategies that may build alignment inside your team:

1. Start with Clear Strategic Direction
Before you bring your team together, clearly definite the outcome you are hoping for. This is the foundation of effective strategic planning and team alignment.
What needs to be different after this session?
What decisions need to be made?
What priorities need to be clarified?


2. Create Structure for Better Collaboration
Strong teams do not happen by accident. They are designed. Your meetings, workshops, and leadership sessions should have the following aspects to prevent conversations from drifting and to keep teams focused.
A clear agenda
Defined goals
A structured flow for discussion and decision-making


3. Ensure 100% Participation
If the same few people are speaking, you are not getting the full value of your team. High-performing teams create space for everyone to contribute. This can be done through:
Small group discussions
Writing or mapping exercises
Hands-on activities that require participation, like LEGO® Serious Play® which I use when I work with teams. 


When everyone has a voice, alignment happens faster.

4. Make Thinking Visible
One of the most effective ways to improve collaboration is to make ideas visible, so instead of keeping ideas in people’s heads, bring them to life through:
Visual mapping
Group exercises
Hands-on building activities

5. Focus on Real Business Challenges

6. Turn Ideas Into Action
Remember, alignment only matters if it leads to your team actually taking action on its ideas and goals. So before any meeting or workshop ends, make sure you have the following outlined. Because this is where strategy turns into results:

Defined priorities
Assigned ownership
Next steps and timelines
